Lensco Management Corporation  is a growing optical retail company operating multiple optical locations in the region and currently undertaking an expansion of its optical retail operations.

We are seeking an experienced Administrative Services Coordinator to support the company’s expanding network of optical locations.

This is a senior administrative coordination position working closely with management and serving as a key point of coordination for administrative operations, inventory, purchasing, logistics, supplies, and relationships with optical laboratories and suppliers.

The successful candidate will coordinate administrative and operational processes across multiple locations and help management maintain consistent procedures and efficient supply and inventory operations as the company continues to expand.

Key Responsibilities

  • Coordinate administrative procedures and operational processes across multiple optical retail locations.
  • Establish priorities and coordinate administrative activities to ensure efficient day-to-day operations.
  • Coordinate the acquisition, ordering, distribution, and replenishment of office, optical, and operational supplies.
  • Monitor inventory levels and coordinate stock replenishment between locations as required.
  • Maintain accurate inventory, purchasing, supplier, and administrative records.
  • Coordinate purchasing activities and follow up with suppliers regarding orders, pricing, availability, deliveries, and outstanding issues.
  • Act as a key administrative liaison between management, optical stores, optical laboratories, suppliers, and service providers.
  • Coordinate communications with optical laboratories regarding orders, production status, remakes, adjustments, delivery schedules, and other administrative matters.
  • Follow up on laboratory orders and coordinate the resolution of administrative or logistical issues.
  • Coordinate the movement and distribution of products, supplies, and materials between suppliers, laboratories, and company locations.
  • Maintain records relating to purchase orders, invoices, suppliers, laboratory orders, inventory, and related administrative documentation.
  • Assist management with inventory controls, purchasing controls, expense tracking, and administrative budgets.
  • Prepare administrative, inventory, purchasing, and operational reports for management.
  • Review administrative procedures and recommend improvements to increase efficiency and consistency across locations.
  • Help implement standardized administrative and inventory procedures across the company’s optical locations.
  • Coordinate administrative and logistical requirements associated with new optical store openings and expansion projects.
  • Communicate with store personnel regarding administrative, inventory, supply, and operational requirements.
  • Coordinate administrative activities and priorities among staff when required.
  • Assist management with the implementation of new administrative systems, procedures, and operational processes.
  • Provide senior-level administrative and operational support to management and serve as a central point of coordination between the company’s locations and management.
  • Perform other related administrative coordination duties as required.

Qualifications

  • Several years of progressive experience in administrative coordination, office administration, operations coordination, or a related senior administrative position.
  • Demonstrated experience coordinating multiple administrative functions, priorities, and deadlines.
  • Experience with inventory management, purchasing, supplies, logistics, vendor coordination, or related administrative functions.
  • Strong organizational, analytical, communication, and problem-solving skills.
  • Ability to coordinate administrative activities across multiple locations.
  • Strong attention to detail and ability to manage competing priorities.
  • Proficiency with Microsoft Office and administrative, inventory, purchasing, or business management software.
  • Ability to prepare reports, maintain accurate records, and monitor administrative controls.
  • Previous experience in a senior administrative or coordination position is preferred.

Assets

  • Previous experience in the optical industry, optical retail, opticianry, optical laboratories, or optical product distribution is considered a significant asset.
  • Experience working directly with optical laboratories and understanding optical laboratory workflows is highly valued.
  • Familiarity with prescription eyewear, lenses, frames, optical orders, remakes, adjustments, laboratory timelines, and optical inventory processes is an asset.
  • Experience coordinating administrative or operational functions for multiple retail locations is an asset.
  • Experience working with optical laboratories, frame suppliers, lens suppliers, optical vendors, or other industry-specific service providers is an asset.
  • Experience supporting new store openings, business expansion, or implementation of operational procedures is an asset.

Employment Conditions

Wage: $39.50 per hour
Hours: 40 hours per week
