COMMERCIAL PROPERTY MANAGEMENT COORDINATOR
A smaller, well established property management company located in downtown Vancouver is looking for a Property Management Coordinator with experience supporting commercial, industrial and mixed-use assets, including residential. This role is the first impression, face and voice of the organization when it comes to dealing with and assisting others. It is a jump in and do what’s necessary to get the job done and work with the team to ensure smooth business operations.
Reporting to and working closely with the Director, Property Management, the Coordinator acts as a vital operational link between the Director, tenants, vendors, and stakeholders.
Responsibilities include:
- Tenant relations, inquiries, full-cycle property operations and dispute resolution.
- Compliance with respect to lease insurance.
- Property operations including acquisition and onboarding, operations and leasing, maintenance and asset preservation, and disposition.
- Upload, maintain and update tenant databases.
- Lease administration and documentation, including preparing commercial lease agreements, renewals, amendments and terminations, as well as preparing and administering residential tenancy agreements and documentation.
- Managing rent rolls, rent collection, and financial tracking.
- Prepare full-cycle triple net reconciliations and year end adjustments.
- Vendor and contractor coordination and scheduling.
- Maintenance requests, process and code invoices, operating expenses.
- Maintain lease abstracts and track critical dates, rent schedules, tenant obligations, and insurance verification and documentation compliance, including COI’s.
- A multitude of administrative and accounting tasks, including reception duties, correspondence, accounts receivable, budgeting, reconciliations, data entry, maintaining property/tenant/contractor files and databases, rent rolls, lease expiry schedules, paper and electronic documents and record management, bank runs, etc.

QUALIFICATIONS also include:
Education
Post secondary diploma in a related field including Business Administration/Operations, Property Management, RPA or BOMA programs, are preferred. Accounting/Finance courses are an asset.
Experience
Minimum of 3 years experience as a Commercial Property Management Coordinator, along with sound residential experience in a similar office environment where teamwork and collaboration are essential. High level of computer literacy and highly adept with Yardi Breeze (a must have).
A combination of education and experience may be considered.
Knowledge, Skills and Abilities
- Thorough knowledge of BC property laws, local bylaws, regulations and legal documentation / lease agreements.
- Demonstrated best practices in property management and maintenance.
- Solid understanding of accounting practices and knowledge of budgeting, financial reporting and processing for property transactions.
- Highly proficient with MS Office – Word, Excel, Outlook, Yardi Breeze, as well as good computer problem solving skills.
- Excellent written and verbal English communication skills.
- Demonstrated strong accuracy, analytical and research skills.
- Demonstrated conflict and problem resolution skills with the ability to assess and navigate various situations, be solution focused and remain calm during heightened situations.
- Ability to multi-task, shift priorities and adapt to changing environments.
- Well rounded emotional intelligence including self-awareness, the ability to gauge and respond to body language, polished social skills, respect, integrity, motivation, etc.
- Proven ability to keep company/client/vendor confidences at all levels.
